This page builds a professional email quote. You choose how many mailboxes you need, whether the domain is .co.za or .com, and whether Google, Microsoft, or Zoho hosts the mail. The total is the provider’s licence, one year of that domain, and the work to put the address live.

The domain line is R105 a year for .co.za, or R220 a year for .com. That is the name on the address, such as [email protected]. The licence is separate, and so is setup: point the domain at the right mail servers, publish the records that prove the mail is yours, create a mailbox for each person, and sign those mailboxes in on the phones and laptops they already use.

Three providers, three different jobs

Google Workspace is the Gmail experience on your own domain, with Drive, Meet, Docs, and an admin console. Business Starter is the usual starting point for a small team that lives in the browser. Business Standard adds a large shared drive and meeting recording. Business Plus adds Vault and tighter control of devices.[1]

Microsoft 365 Business is Outlook, Teams, and OneDrive, with the desktop Office apps arriving on Business Standard. Business Basic is enough when people are happy in the browser and on their phones. Business Premium is the plan that adds Defender and device management. Each Business plan covers up to 300 people.[3]

Zoho Mail is the lean option when you mostly need a proper mailbox. Mail Lite starts at a dollar a user on an annual bill. Mail Premium adds a much larger mailbox, retention, and eDiscovery. Workplace Standard and Workplace Professional bundle mail with documents, chat, meetings, and file storage when you want those tools without buying Google or Microsoft.[4][5]

The annual price, and what it saves

Checked on 28 September 2026, Google’s flexible Business Starter price is $8.40 per user per month. The annual plan is $7 per user per month, $84 for the year. Standard is $16.80 flexible or $14 annual. Plus is $26.40 flexible or $22 annual. Choosing the annual plan saves about 16.7 percent against paying month to month.[1][2]

Microsoft’s published commercial prices from 1 July 2026 are annual-commitment prices: Business Basic $7, Business Standard $14, and Business Premium $22 per user per month. A month-to-month term is normally 20 percent higher, which is why the calculator shows $8.40, $16.80, and $26.40. If a quote in your country differs, the pricing sheet behind this page is the place to correct it.[3]

Zoho’s mail-only plans are annual only. Mail Lite is $1 per user per month for 5 GB, or $1.25 for 10 GB. Mail Premium is $4. Workplace Standard is $3 on an annual bill or $4 month to month. Workplace Professional is $6 annual or $7 month to month. There is no separate “percentage off” sticker on the mail-only plans, because Zoho does not sell them month to month.[4][5]

Those are list prices in US dollars, before tax. A South African invoice can be in rand, and VAT sits on top. The calculator converts the dollar list price with a cached mid-market rate so you can compare. It is an illustration, not the provider’s invoice.

Build the quote

The quote opens on Business Starter for three mailboxes and a .co.za domain. Change the mailbox count, switch the domain to .com at R220 a year, and pick another plan when you want that tier instead. On a wide screen the matching Google, Microsoft, and Zoho plans stay in three columns while you scroll. Month-to-month and annual billing move every column that has both prices. The domain is a yearly price either way. Setup fees are EudaTech’s current fees in rand. The date on the quote is the date those provider figures were last checked, and it changes when that date is updated on the pricing sheet.

How to choose without overbuying

  • You need a proper address, calendar, and light documents. Zoho Mail Lite, Zoho Workplace Standard, Google Business Starter, or Microsoft 365 Business Basic all do that job.
  • People already live in Gmail or Google Drive. Stay with Google so the move is a domain change, not a new set of apps.
  • People already live in Outlook and want Word and Excel installed. Microsoft 365 Business Standard is the plan that includes those desktop apps.
  • You need to keep mail for a dispute, an audit, or a regulator. Look at Google Business Plus, Microsoft 365 Business Premium, Zoho Mail Premium, or Zoho Workplace Professional. Move up when storage, recordings, or retention become a real requirement.
  • More than 300 people. Google and Microsoft Business plans stop there. Ask the provider for an enterprise quote.

What the setup includes

The provider fee is the rent for the mailboxes. The domain fee is the yearly price of the name: R105 for .co.za or R220 for .com. The setup fee is the work of making that name send and receive. For a typical small team that is one flat piece of DNS work, then a per-person fee to create the mailbox and sign it in. On monthly billing, the provider charges that mailbox rent to the company card each month. The setup fee is paid to EudaTech.

  • Register or renew the domain on the quote: R105 a year for .co.za, or R220 a year for .com.
  • Publish MX records so the world delivers mail to the provider you picked.
  • Publish SPF, DKIM, and DMARC so other servers can see the mail really comes from you.
  • Create each person’s mailbox, aliases such as accounts@ or info@, and the shared calendar.
  • Sign the mailbox in on the phone and computer, and leave a short note on how to reset a password.
  • Move old mail across when there is an existing inbox worth keeping. That part is optional, and the calculator treats it as a separate line.

“Buy the smallest plan that covers the apps people already use. Move up when storage, recordings, or retention become a real requirement.”

— A practical rule for the first year

If you already have a website on the same domain, the email and the site should be planned together. The contact page, the invoices, and the mailbox ought to share one name. If the site still needs building, start with the shape of the site, then put the mailbox on the domain you intend to keep.
